PRIVACY NOTICE

Preservation of your privacy is important to the Northern Meeting Piping Trust (NMPT). The NMPT operates under the General Data Protection Regulation 2018 which regulates the collection of your personal information. Under the terms of the General Data Protection Regulation 2018 the NMPT considers that it has a legitimate interest in collecting personal information. This privacy policy describes how we collect, use and protect your personal information.

What is the Northern Meeting Piping Trust?

The Northern Meeting Piping Trust is a charity, regulated by the Scottish Charity Regulator, registered charity number: SC002731. It organises the annual Northern Meeting Piping Competitions.

Who processes your personal information?

Information that can identify you (“Personal Information”) will be collected, processed, stored and used by the NMPT and, in certain instances, passed to other organisations to enable the operation of the Competitions. The information is gathered via the Northern Meeting web site, application forms and from NMPT Committee Members.

Information About You

The NMPT collects a variety of personal data including: name, address, email address, telephone number and date of birth. Information on piping gradings, piping history, entry fees and, in certain instances, bank account details are also collected. Company and position are also collected for reception invitees. The information will vary depending upon the individual’s involvement with the Competitions.

Why do we need your personal information?

The NMPT may use your personal information for the following purposes:

To organise the Competitions.
To decide who is eligible to play in the Competitions.
To inform you of its decisions in respect of the Competitions.
To keep you informed about the Competitions.
To accept entry fees.
To pay prize money and fees.
To organise the stewarding of the Competitions.

Without this information the NMPT will not be able to organise and run the Competitions. We will not collect any personal information from you that we do not need to provide this service to you.

What we do with your personal information?

The personal information we collect is processed through the Northern Meeting web site and by the Piping Secretary. It is held on the web site (for Senior Competitors), in electronic format and in paper format.

The personal information is processed by the Piping Secretary to reach a decision on eligibility and organise the Competitions. The NMPT shares certain personal details with the Competing Pipers Association, the Joint Committee for Solo Piping Competitions and the Argyllshire Gathering to determine who is eligible to play in the Competitions. No other third parties have access to your personal information unless the law allows them to do so.

How long do we keep your personal information?

The NMPT has agreed to keep your personal information for the following time periods:

Senior Competitors

Until you ask for it to be removed or you are no longer eligible to play at the Competitions.

Junior Competitors

One year

Judges
Until you ask for it to be removed or the information is no longer relevant for the running of the Competitions

Stewards
Until you ask for it to be removed or you no longer act as a steward for the Competitions.

Reception Invitees:
Until you ask for it to be removed or the information is no longer relevant for the running of the Competitions.

Sponsors and Donors:
Until you ask for it to be removed or the information is no longer relevant for the running of the Competitions

Security

We will take reasonable precautions to prevent the loss, misuse or alteration of information you give us, including the use of firewalls, passwords and back up. In addition certain electronic information is encrypted.

Communications in connection with the Competitions will, where possible be sent by e-mail. For ease of use and compatibility, communications will not be sent in an encrypted form. Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects we cannot bear responsibility for all communications being virus-free

No financial details are held by the NMPT in paper or electronic format once a payment regime is set up. All payments will normally be made securely via PayPal or through the NMPT on-line banking.

What are your rights?

If at any point you wish to access your personal information or believe the information we process on you is incorrect you can request to see this information and have it corrected or deleted.
